Guide to Using System Templates

For clubs that are using the ClubHouse Online website and would like to send an email with instructions to register for the website or download the mobile app, there are a few system templates for clubs to choose from, instead of starting from scratch.

  1. Log in to website and access Email Marketing Module.
  2. Select Email Campaigns from the left navigation.
  3. Select triangle pointing down beside the New Email Campaign button.
  4. Select Drag & Drop Editor from the drop-down.
  5. Select System Templates tab.
  6. Select the thumbnail above one of the template names and the preview will display in the right pane.

      • Recommend replacing mail merges in the template.
    • Club Mobile App
      • What members can do with app and written instructions on how to download the Custom/Premium (club name specific) mobile app.
    • ClubHouse Online Mobile App
      • Written instructions and videos on how to download ClubHouse Online mobile app.
  7. Select Next > at the top right to use the template.

Step 2 Edit HTML 

Rename Email Campaign

  1. At the top of the page Email campaign name: Give the email a campaign name.
    • This name is only visible to administrators. 
  2. Select green check mark to save campaign name change.

The Step 2 Edit HTML page is split into two panes.

  1. Left side of the screen is referred to as the Canvas, this is where the campaign design is going to be created.
  2. Right side of the screen, tools to build the email will be found. Content, Rows and Theme.

Replace Images

  1. On the left, select "Place your logo here" or image with keyboard.
  2. On the right, the Image Properties will display.
  3. Beside Select an Image, select Change.
  4. In the Select an image dialog box, the Media folder will be selected by default with images already uploaded to the email marketing module.
  5. Hover over image and click Select button.
  6. If image is still on the administrator's computer, select Upload button in the top right, to find and upload image.

Re-assign Merge Fields

The merge field code could be different for each club because the field could be named differently in the accounting system. It is recommended that the merge fields in the template be re-assigned to ensure that the data will populate properly in the body of the email message.

  1. On the left, place cursor in box with Announcing Our New Website
  2. Select the existing merge field code [Contact.First Name].
  3. Select [ ] square bracket icon from the content editor tool bar above, the drop-down will display fields to select from.
  4. Select field from list to be used as merge field. The field selected will be added to the text content block in between square brackets.
  5. Scroll down in the Text content block and look for other merge fields in the template and repeat the process.
    • Member Number: [Contact.membernumber]
    • First Name: [Contact.First Name]
    • Last Name: [Contact.Last Name]

Edit Text and Links

Customize the template by making changes.

  • For details see Text Content Block.
  • Select Next button at the top, to go to Step 3 Edit Plain Text.
 

Step 3 Edit Plain Text 

The plain text is auto generated from the content that was added in Step 2 Edit HTML. This is the message contacts will receive if they have opted in their email provider to only view email in plain text. This means they will not see any color, images or formatting in rows and columns, but if there were hyperlinks they would still be able to click and access the information. Changes can be made to the text but it is not necessary.

  • Select Next button at the top, to go to Step 4 Edit Email Details.
 

Step 4 Edit Email Details 

In Step 4 Edit Email Details, administrators will be able to enter the subject line, choose the From Email, Reply to Email, Footer and whether or not to include the online version of the email before the campaign is ready to be sent. 

To send the campaign the last two items have to be completed.
