My Bookings is for members to access all the bookings they have coming up.

  • It is a shared area for members to see bookings from different modules all in one place.
  • The booking taking place next, will be found at the top of the My Bookings list.
  • Member that made the booking will be able to edit (except for Appointment Booking and Class Scheduling Module) or cancel the booking for all members and guests in the booking. 
  • Other members on the booking will be able to edit or cancel themselves from a booking. They cannot make any changes to others or cancel the entire booking. They won't be able to make any changes at all for Appointment Booking, Class Scheduling and Dining Modules.

Accessing My Bookings

A member can access My Bookings from different areas on the website after they have logged in.

  • Click on their name in top right corner and select My Bookings in the drop down.
  • Access any module booking page and then select My Bookings tab.
From here members will find the following:
  • The bookings will be listed chronologically, with the booking coming up next listed at the top.
  • Once the day of the booking has past, the booking will no longer be found in the My Bookings Tab.
  • If the time of the booking has already taken place on the current date, then no changes can be made.
  • Booking Details information will always include the location, date, time and confirmation number.
  • Additional information found would vary based on the booking module, this could include party size, player names, attendees and provider name.
  • Option to Edit Booking or Cancel Booking.


Booking Types Filter 

By default, all booking types the club has enabled for members to book using the ClubHouse online website will be displayed. The Booking Types filter can be used to view bookings by module(s).

  1. Click on module(s) displayed under Booking Types
  2. Drop-down list will show.
    • All booking types button - Click to select/deselect all modules to display.
    • A list of modules the club has set up on their website.
      • Appointment booking module - Each activity type created from JAM / Encore for this module will be displayed (Golf Lessons, Tennis Lessons, Personal Training, Spa etc...).
      • Class Scheduling module - Each activity type created from JAM / Encore for this module will be displayed (Aquatics & Swimming, Yoga, Fitness etc...).
  3. Click to select/deselect individual module(s) to display/hide in my bookings list.
  4. For the new changes to apply, click away from drop-down box.

Edit Booking 

Members can make changes to a booking from the website without having to contact someone at the club.

  • What can or cannot be edited from the website will depend on the module.
  • Edits can be made right up to the time the booking is scheduled to take place.
  • Some modules have the option to setup a cancellation policy, if this is in place and Prevent Edits after Cancellation Policy Deadline has been enabled. As a result, the cancel deadline date is when Edit Booking and Cancel Booking button will be hidden from My Bookings and changes cannot be made to the booking from the website. 
Steps to Edit a booking
  1. From the My Bookings tab.
  2. Click pencil icon or Edit Booking beside the booking.
  3. The initial booking screen for the respective booking module will appear.
  4. Options to edit may include:
    • Modifying the number of people.
    • Changing answers to questions. 
    • Adding notes.
  5. Click Update Booking / Complete to save changes.
  6. Confirmation number will remain the same and if email notifications are enabled, all registrants / players will receive the email confirmation with changes.

Note: Appointment Booking and Class Schedules modules do not allow edits to be made from the website. Members can cancel the original booking and make a new one with the correct information using the website. Or contact the club to make the changes.


Cancel Booking 

Members can cancel a booking from the website without having to contact someone at the club. 

  • Cancels can be made right up to the time the booking is scheduled to take place.
  • Some modules have the option to setup a cancellation policy. If this is in place, the Cancel Booking button will be hidden from the My Bookings section prior to the time of the booking.
Steps to Cancel a booking
  1. From the My Bookings tab.
  2. Click X icon or Cancel Booking beside the booking to be cancelled.
  3. Click Yes, Cancel to confirm the cancellation
  4. The My Bookings screen will refresh and the booking will be removed.
  5. An Email Notification will be sent to all registrants in the booking, if cancel notifications have been enabled.
Cancel Booking will be available for all modules. Select a module to see specifics.

 
Sync My Bookings to a Calendar

The Sync button in the top right of the My Bookings screen, will allow members to synchronize all of their bookings to their personal calendar. 

  1. Click on the SYNC button. 
  2. Instructions will be emailed to the member on how to complete the steps. 
  3. Find email in the inbox or junk box and follow instructions to sync with personal calendar. 

 
Show Relatives' Bookings

This option will only display if the club has it setup from their ClubHouse Online website Company Management > General Settings - My Bookings - Allow Relatives to See Each Other's Bookings
This allows a member to see bookings of other family members that are coming up, which the member logged in is not part of.

  • Ex. Member Chris Lake is logged in, by default he will only see bookings that he is a part of. In the image below, Chris does not have any Dining reservations coming up.

If he wanted to see if his wife (Mary Lake) and kids have any bookings coming up that he is not a part of, he can click Show Relatives' Bookings box. This Booking Belongs to Spouse/Child name will display in the booking details. The member logged in will not be able to edit or cancel any of the bookings from the website, if they are not part of the booking.
In the image below, Chris Lake can see that Mary is going to have lunch with Joy on Saturday.

Note: This feature does not work for Class Scheduling module - members would have to contact the club to see if other family members have upcoming class scheduling module bookings. 

 
Appointment Booking

Members can only view and cancel an appointment from My Bookings. To make changes they would have to cancel the original booking and make a new booking or contact staff and they can make changes directly in JAM / Encore Appointment Booking.

The following details for the Appointment booking can be viewed.
  • Service provided and duration
  • Date and time
  • Confirmation Number
  • Location
  • Name of other Registrants if applicable
  • Provider - name of instructor

Cancel an Appointment Booking

Members can cancel an appointment from the website without having to contact the club. They can cancel right up to the scheduled appointment time.

  • If a club wants the members to cancel online but not within 24 hours of their booking time, a cancellation policy has to be set up from JAM / Encore Appointment Booking. The cancel button will be hidden from the My Bookings section 24 hours before the appointment time. 
  1. Click Cancel Booking button beside the appointment booking.
  2. Click Yes, Cancel to confirm the cancellation.
  3. The My Bookings screen will refresh and the booking will be removed.
  4. An Email Notification will be sent to all registrants in the booking, if cancel notifications have been enabled.


Class Scheduling 

Members can view and cancel a class booked using class scheduling from My Bookings. To make changes they would have to cancel the original booking and make a new booking or contact staff and they can make changes directly in JAM / Encore Class Scheduling.

The following details for the Class Scheduling booking can be viewed.
  • Name of class
  • Date and time
  • Confirmation Number
  • Location
  • Instruction name 
  • Name(s) of other Attendees if applicable

Cancel a Class 

Members can cancel a class from the website without having to contact the club. They can cancel right up to the scheduled class time.

  1. Click Cancel Booking button beside the class scheduling booking.
  2. Click Yes, Cancel to confirm the cancellation.
  3. The My Bookings screen will refresh and the booking will be removed.
  4. An Email Notification will be sent to all registrants in the booking, if cancel notifications have been enabled.


Court Reservations

Members can view, edit and cancel a court reservation from My Bookings. 

The following details for the Court reservation can be viewed.
  • Court number
  • Date and time
  • Confirmation Number
  • Name of other Players in the booking
  • Resources if applicable such as a ball machine

Edit a Court Reservation

Members can make limited changes to a court booking from the website without having to contact the club. They can edit right up to the court time.

  • If a club wants the members to edit online but not within 24 hours of their court time, a cancellation policy has to be set up from Jonas Activity Management (JAM) / Encore Courts and configured accordingly from the ClubHouse Online Court Reservation > Court Management - Prevent Edits after Cancellation Policy Deadline has been enabled. Both the cancel and edit button will be hidden from the My Bookings section 24 hours before the court time. 
  1. Click Edit Booking button beside the court reservation.
  2. The edit screen is the same as making a new court booking. 
  3. Make necessary changes. 
  4. Click Update Booking, before the timer runs down to zero. Otherwise, the changes will not be applied. 
  5. The Booking Confirmation window will be displayed with details of the edited booking.
  6. An Email Notification will be sent to all players in the booking with the changes, if edit notifications have been enabled.
The first player in a booking will have more edit options compared to other players in the booking.

First player in the booking (member that made the booking), can make changes to any player in the booking along with the items listed below.
  • Add or remove players
  • Edit Requests/Notes
  • Add or Remove Rental options if enabled
Note: To change the start time or date of the booking from the website, the member can cancel the entire booking and start over to make a new booking. Or they can call the club and staff can make the date or time change directly in JAM / Encore Court Booking.

Other members in the booking, can only remove themselves from the booking.
In the image below, Mary lake is logged in and she is not the first player in the booking. She can only make changes to herself. She isn't even able to make edits to the notes.

  • If a club wants the members to cancel online but not within 24 hours of their court time, a cancellation policy has to be set up from JAM / Encore Court Booking. The cancel button will be hidden from the My Bookings section 24 hours before the court time. 
  • If a club prefers staff to handle all cancellations directly in JAM / Encore Courts the Cancel Booking option can be removed completely from My Bookings by making changes in ClubHouse Online Court Reservation > Court Management - Disable Online Cancellation.
  1. Click Cancel Booking button beside the court reservation.
  2. Click Yes, Cancel to confirm the cancellation.
  3. The My Bookings screen will refresh and the booking will be removed.
  4. A Cancelled Email will be sent to all the registrants, if cancel notifications have been enabled.
When the member clicks on Cancel Booking and a cancellation policy is in place it will advise in red text the cancellation policy details. 

If the booking has already reached the time frame where a fee will be charged, the penalties will be listed and asks if the member wishes to proceed. 
Member can click Yes, Cancel to confirm the cancellation, the My Bookings screen will refresh and the booking will be removed. An Email Confirmation will be sent to all the players advising them of the cancelled booking if cancel notifications have been enabled.


Dining Reservations

Members can view, edit and cancel a dining reservation from My Bookings. 

The following details for the Dining reservation can be viewed.

  • Room dining will take place
  • Date and time
  • Confirmation Number
  • Number of people in the party size
  • Names of other Attendees if applicable

Edit a Dining Reservation 

Members can change the date, time, number of people and room for the dining reservation from the website without having to contact the club. They can edit right up to the reservation time.

  • If the ClubHouse Online Dining Reservations > Global Settings - Disallow same day reservations/Edits After has been configured. The Edit Booking button could be hidden at a designated time on the day of the booking.
  • If a club prefers staff to handle all edits directly in JAM / Encore Dining, the Edit Booking option can be removed completely from My Bookings by making changes in ClubHouse Online Dining Reservations > Global Settings - Allow reservation Edit option.
  1. Click Edit Booking button beside the dining reservation.​
  2. The edit screen is the same as making a new dining reservation. 
  3. Make necessary changes.
  4. Click Book Now to save changes.
  5. The Booking Confirmation window will be displayed with details of the edited booking.
  6. An Email Notification will be sent to all players in the booking with the changes, if edit notifications have been enabled.
Only the first person in the reservation (member that made the booking) can edit a dining reservation from the website, they can make changes to any registrant in the booking along with the items listed below.
  • Change Date, Time, Party Size or Room.
  • Add or remove members / guests - This option is only available if the club has enabled Allow Add Names or Must Add Names with Allow Guests.
  • Edit Requests/Notes.

Other members in the booking will have to contact the club to assist with making changes.
In the image below, Mary Adams is logged in and she is not the first person in the registration. She can view the registration information and there's a message " To cancel, please contact the club".

Cancel a Dining Reservation

Members can cancel a dining reservation from the website without having to contact the club. They can cancel right up to the reservation time. The cancel button is only available for the first registrant in the reservation. 

  1. Click Cancel Booking button beside the dining reservation.
  2. Click Yes, Cancel to confirm the cancellation.
  3. The My Bookings screen will refresh and the booking will be removed.
  4. A Cancelled Email will be sent to all the registrants, if cancel notifications have been enabled.
  


Event Registrations

The Event Booking type will be the same for clubs using the ClubHouse Online Event Calendar and those that are setup with Integrated Events.
Members can view, edit and cancel an event registration from My Bookings. 

The following details for the Event registration can be viewed.
  • Name of event
  • Date and time
  • Confirmation Number
  • Location
  • Names of attendees in the booking

Edit an Event Registration

Members can make limited changes to an event registration from the website without having to contact the club. They can edit right up to the event time.

  • If a club wants the members to edit online but not within 24 hours of their event time, a cancellation policy has to be set up from ClubHouse Online Event Management > Cancellation Policies and the Event Management > Configuration - Prevent Edits after Cancellation Policy Deadline has been enabled. Both the cancel and edit button will be hidden from the My Bookings section 24 hours before the event time. For clubs that are using Integrated events the cancellation policy has to be set up from Jonas Activity Management (JAM) / Encore Event Management.
  1. Click Edit Booking button beside the event registration. 
  2. The edit screen is the same as making a new event registration. 
  3. Make necessary changes. 
  4. Click Complete. If the event has additional questions added, click Continue to edit answers to questions and then click Complete.
  5. The Booking Confirmation window will be displayed with details of the edited booking.
  6. An Email Notification will be sent to all registrants in the registration with the changes, if email notifications have been enabled.
The first registrant in a booking will have more edit options compared to other registrants in the booking.

First registrants in the booking (member that made the booking), can make changes to any player in the booking along with the items listed below.
  • Add Registrants by name.
  • Remove Registrants by name (Including yourself).
  • Change # of Registrants - unnamed (If Quick or Hybrid Registration method is setup).
  • Edit start time if event was setup with multi start times.
  • Edit Individual / Booking Question responses (If applicable).
  • Edit Requests/Notes.

Other members in the booking, can only remove or edit answers to questions for themselves in the registration.
In the image below Mary lake is logged in and she is not the first registrant in the booking. She can only make changes to herself. She isn't even able to make edits to the notes.

Members can cancel an event registration from the website without having to contact the club. They can cancel right up to the scheduled event time. The cancel button is only available for the first registrant in the registration. 

  • If a club wants the members to cancel online but not within 24 hours of their court time, a cancellation policy has to be set up from ClubHouse Online Event Management > Cancellation Policies or from Jonas Activity Management (JAM) / Encore Event Management for clubs that are set up with Integrated events. The cancel button will be hidden from the My Bookings section 24 hours before the event time. 
  • If a club prefers staff to handle all cancellations, the cancel button can be removed completely from My Bookings by making changes in ClubHouse Online Event Management ​> Configuration - Disable Online Cancellation.
  1. Click Cancel Booking button beside the event registration.  
  2. Click Yes, Cancel to confirm the cancellation.
  3. The My Bookings screen will refresh and the booking will be removed.
  4. A Cancelled Email will be sent to all the registrants, if email notifications have been enabled.


Tee Time Reservations 

Members can view, edit and cancel a tee time reservation from My Bookings. 

The following details for the tee time reservation can be viewed.
  • Date and time
  • Confirmation Number
  • Course name
  • Name of other Players in the booking

Edit a Tee Time Booking

  • Edits can be made right up to the time the tee time booking is scheduled to take place, if editing has been enabled.
  • If a club does not want members to edit online right up until the tee time. They can have the edit button hidden on the day of as of midnight. This can be setup from ClubHouse Online Tee Times > General Settings - Allow Same Day Editing.
  • If a club wants the members to edit online but not within 24 hours of their tee time, a cancellation policy has to be set up from Jonas Club Management Tee Times and configured accordingly from the ClubHouse Online Tee Times > General Settings - Prevent Edits after Cancellation Policy Deadline has been enabled. Both the cancel and edit button will be hidden from the My Bookings section 24 hours before the tee time. 
  • If a club prefers staff to handle all edits directly in Jonas Club Management Tee Times the Edit Booking option can be removed completely from My Bookings by making changes in ClubHouse Online Tee Times > General Settings - Disable Editing Reservations.
  1. Click Edit Booking button beside the tee time booking.
  2. The edit screen is the same as making a new tee time booking. 
  3. Make necessary changes. 
  4. Click Update Booking, before the timer runs down to zero. Otherwise, the changes will not be applied. 
  5. The Booking Confirmation window will be displayed with details of the edited booking.

Cancel a Tee Time Booking

Members can cancel a tee time booking from the website without having to contact the club. They can cancel right up to the scheduled tee time. The cancel button is only available for the first player in the booking. 

  • If a club wants the members to cancel online but not within 24 hours of their tee time, a cancellation policy has to be set up from Jonas Club Management Tee Times and configured accordingly from the ClubHouse Online Tee Times > General Settings - Respect Cancellation Policy has been enabled. The cancel button will be hidden from the My Bookings section 24 hours before the tee time. 
  • If a club prefers staff to handle all cancellations directly in Jonas Club Management Tee Times the Cancel Booking option can be removed completely from My Bookings by making changes in ClubHouse Online Tee Times > General Settings - General - Allow Cancellation.
  1. Click Cancel Booking button beside the Tee Time Booking.
  2. Click Yes, Cancel to confirm the cancellation.
  3. The My Bookings screen will refresh and the booking will be removed.
  4. A Cancelled Email will be sent to all the players, if cancel notifications have been enabled from Jonas Club Management.


Tee Time Lottery Requests

Members can view, edit and cancel a tee time lottery request from My Bookings. 

The following details for the tee time lottery request can be viewed.
  • Date and time
  • Confirmation Number
  • Course name
  • Name of other Players in the booking

Edit a Tee Time Lottery Request

  • Edits can be made right up to the Lottery closing date that the club has set up in Jonas Club Management, if editing has been enabled for Tee Times.
  • If a club prefers staff to handle all edits directly in Jonas Club Management Tee Times the Edit Booking option can be removed completely from My Bookings by making changes in ClubHouse Online Tee Times > General Settings - Disable Editing Reservations.
  1. Click Edit Booking button beside the tee time booking.
  2. The edit screen is the same as making a new lottery request. 
  3. Make necessary changes. 
  4. Click Update Request.
  5. The Booking Confirmation window will be displayed with details of the edited request.
  6. Reminder Lottery requests do not have email notifications. 
First player in the request (member that made the request), can make changes to any player in the request along with the items listed below.
  • Change Acceptable earliest and latest time range. 
  • Change # of Holes.
  • Add or remove players.
  • Edit Player Options (Transportation, Caddy, Rental Clubs) for each player if applicable.
  • Change who is allowed to add themselves to the request, if this feature has been enabled by the club.
  • Edit Requests/Notes.
To change the start time or date of the request from the website, the member can cancel the entire request and start over to make a new request. Or they can call the club and staff can make the date or time change directly in Jonas Club Management - Tee Times.

Other members in the request, can only remove themselves or edit their own Player Options (Transportation, Caddy, Rental Clubs) if applicable. They won't even be able to make edits to the notes. 

Cancel a Tee Time Lottery Request

Members can cancel a tee time lottery request from the website without having to contact the club. They can cancel right up to the lottery has been run and published, at this time the Tee Time Request will convert to a Tee Time booking. The cancel button is only available for the first player in the booking. 

  • If a club prefers staff to handle all cancellations directly in Jonas Club Management Tee Times, the Cancel Booking option can be removed completely from My Bookings by making changes in ClubHouse Online Tee Times > General Settings - Lottery - Allow Lottery Request Cancellation.
  1. Click Cancel Booking button beside the Tee Time Request.
  2. Click Yes, Cancel to confirm the cancellation.
  3. The My Bookings screen will refresh and the booking will be removed.

 
Tournaments

Members can view, edit and cancel a tournament reservation from My Bookings. 

The following details for the tee time tournament can viewed.

  • Name of Tournament
  • Date and time
  • Confirmation Number
  • Name of other Players in the booking

Edit a Tee Time Tournament Registration

Members can make limited changes to tournament registration from the website without having to contact the club. They can edit or cancel the tournament registration on the website, up to when the club decides to finalize the tournament details. Edits are done through the Event Calendar module. Once the details for the tournament has been finalized, in the My Bookings section the Tee Time Tournament booking will be appearing as a Tee Time Reservations booking type.

  1. Click Edit Booking button beside the tournament. 
  2. The edit screen is the same as making a new event registration. 
  3. Make necessary changes. 
  4. Click Continue. If the tournament has additional questions added, click Continue to edit answers to questions and then click Complete.
  5. The Booking Confirmation window will be displayed with details of the edited booking.
  6. An Email Notification will be sent to all registrants in the registration with the changes, if email notifications have been enabled.
The first registrant in a booking will have more edit options compared to other registrants in the booking.

First registrants in the booking (member that made the booking), can make changes to any player in the booking along with the items listed below.
  • Add Registrants by name.
  • Remove Registrants by name (Including yourself).
  • Edit Personal Preferences (If applicable).
  • Edit Requests/Notes.


Other members in the booking, can only remove or edit answers to questions for themselves in the registration.

Cancel a Tee Time Tournament Registration

Members can cancel a Tee Time Tournament Registration from the website without having to contact the club. They can cancel right up to the tournament has been finalized. The cancel button is only available for the first registrant in the registration.

  1. Click Cancel Booking button beside the Tee Time Tournament Registration.  
  2. Click Yes, Cancel to confirm the cancellation.
  3. The My Bookings screen will refresh and the booking will be removed.
  4. A Cancelled Email will be sent to all the registrants, if email notifications have been enabled.
