JCM Member Order Ready Notifications
Within the POS menu setup of JCM a button can be configured to send Order Notifications to members. These notifications would be sent to let the member know that their order is ready and would be in the form of a Push Notification via the Mobile App or an Email Notification or both could be sent.
Requirements
Prior to configuring the button in the POS Menu, the following requirements will need to be completed.
J-MAIL Setup
The J-MAIL setup will allow for Email confirmations to be sent to the members via the club's mail server. To access the J-MAIL parameters for Online Ordering you will need to follow these steps:
- Navigate to the following menus within Jonas Club Management
- System Administration -> System Setup -> J-Mail Parameters
- Select your Company
- Select the P6 Email Order Notification Form Type from the drop-down.
- Select the Mail Client you wish to use:
- P - SMTP (PVX Email) - Typical mail client setup that requires access to an SMTP server utilized by your club. Supports Authenticated use via an Username and Password.
- K - SMTP with SSL/TLS (ChilKat DLL) - Alternate mail client which provides all of the features of P - SMTP but also accommodates SSL and TLS encryption.
- Enter in the following information:
- SMTP Server Name - The address of the mail server that is sending the Online Order Notification. As Jonas does not host any type of email services for our clients, the club must provide their own mail server. Please contact the company hosting the clubs email and/or your IT representative to obtain this information. (i.e. exchange.mailserver.com)
- Default Subject - The Subject Line of the email notification (i.e. An Online Order has been Placed)
- From Name - The name listed on the email notification of who the email is coming from. (i.e. Online Orders)
- From Address - The From Email Address label that appears in the Email Message when sent to a member. This address is a label that appears in the email message, and is not necessarily the actual address the email is being sent from. However, it is still useful as a member can send a reply to this address with any questions. (i.e. [email protected])
Note: To ensure that e-mails are delivered successfully the following items are
not suggested for use in this setup:
- Using a From Address that utilizes a domain of hotmail.com, outlook.com, gmail.com, yahoo.com or aol.com as they will be flagged for spoofing.
- Using the same e-mail address in From Address field that the notification will be sent to. Mail servers will also flag this as spoofing.
- Click on Authentication to configure the SMTP server access credentials
- Check off the option Password Authentication Required to enable to remaining fields
- Enter in the Outgoing Mail Port utilized by your SMTP server. The default port is 25
- Enter in the Login Name. Be sure to include the domain if required by your network
- Enter in the Login Password used by the Login Name specified.
- [Optional] if K-SMTP with SSL/TLS (ChilKat DLL) was chosen choose the type of encryption your server supports.
- Click OK to save the Authentication settings.
Click on the Test Email option to confirm the J-Mail parameters are correct. If you receive a success you can move on to setting up the Online Ordering Outlet Setup. If you're not able to receive a successful test email, please review your J-Mail parameters to confirm they are correct. If you've confirmed that everything is configured correctly but you're still not able to complete a successful Test Email, please contact our Support Team for assistance.
Order Notification Function Button
In order to initaite member notifications for online oders, you will need to add a menu button to your POS Menu Design. You can create the Order Notification button by following these steps:
- Navigate to the following menu in JCM:
- Point of Sale System -> System Setup -> Menu Design
- Select the menu design you wish to add the button for.
- Select an empty button which you would like to edit.
- From the Edit Menu Button screen, select "ORN - Order Notification" from the Function drop-down.
- Update the Description that appears on the button:
- Desc (1) - First line of the button (i.e. Order)
- Desc (2) - Second line of the button (i.e. Notify)
Ex.

- Choose your Background color for the button.
- [Optional] Insert an image for the button:
- File Formats: .BMP, .JPG, .JPEG, .ICO, .WMF, .EMF, .DIB, .CUR, .GIF
- [Optional] Check off the options to Underline or Italicize the button text.
- Under the Notifications section, set the following options:
- Email - Will send an e-mail notification to the member who the order is assigned to.
- Push - Will send a Push Notification to the member if the club has a Mobile App configured for their site.
- Prompt for Member Email Address:
- Always - Every time this button is pressed a prompt will come up to enter an e-mail or select the one on file.
- Only if not on file - If the member has an e-mail address listed in their Member File.
- Once you're satisfied with the settings click OK to save the button setup.
Sending Notifications
The option to send a notification to the member regarding their Online Order is available when the Order is ready. The User who picks up the CHIT in POS will have the option to click on the Order Notification button that was previously configured.

If the button was configured to Always prompt for an email address or the member doesn't have an actual email address on file, the User will be presented with opportunity to edit or add an e-mail Address to sent the notification to.

Note: If the member has an e-mail address on file, it will be pre-populated in this field when prompted. Or will automatically have the notification sent if the option to prompt is not set to always.
Once the email notification has been sent, the Order Notification button will change to "Email Sent" confirming that the email was sent successfully.

The member who the order was associated with will receive an e-mail notification similar to the image below:

Push Notifications
If the club is utilizing a mobile app provided by Clubhouse Online, a member will receive a Push Notification at the same time the Order Notification is sent as long the following is true:
- The member has the app installed and agreed to allow Push Notification permissions
- The member is logged into the app at the time the notification is sent.
- The member has the most up to date version of the app installed on their mobile device.
Jonas Encore Member Order Notifications
Within the Online Ordering Queue of Encore, notifications can be sent to members when their order is ready for pick up or is out for delivery. These notifications would be sent to the member in the form of a Push Notification via the Mobile App or an Email Notification or both.
Requirements
Prior to sending notifications to members when an Online Order is ready, the following requirements must be completed.
Global Settings Email Configuration
The Email Configuration located in the Global Settings of Encore, are utilized by all modules that need to send emails outbound. These settings will utilize the club's mail server to send all club communications from Encore, including email notifications to members for Online Orders. To configure these settings you will need to navigate to the following menus in Encore:
- System Administration -> Global Settings - Email Configuration
SMTP Settings
- SMTP Server - The address of the mail server that is sending the Online Order Notification. As Jonas does not host any type of email services for our clients, the club must provide their own mail server. Please contact the company hosting the clubs email and/or your IT representative to obtain this information. (i.e. exchange.mailserver.com)
- SMTP Port - The Outgoing Mail Port utilized by your SMTP server. The default port is 25
- User Name - The Username of the account used to access the SMTP server.
- Password - The Password of the account used to access the SMTP server.
- SMTP server requires authentication - Check off this option if the User Name and Password are required to access the SMTP server. [This checkbox will enable the User Name and Password fields.]
- Enable SSL - If the SMTP server utilizes SSL encryption you will need to enable this option.
Email Settings
- From Email - This will be the default email address used by Encore if an alternate is not specified within a specific module.
Note: The email address entered in as the From Email should be a valid email address that belongs to the club. This will ensure that email communications do not end up in SPAM/JUNK folders due to failed SPF and DKIM Authentication checks.
Testing Email Configuration
To confirm that SMTP settings that are entered here are correct, the
Send a Test Email button will allow you to send an email from Encore.
POS Settings Email Settings
The Email Settings found in the POS Settings of Encore are utilized specifically for the Point of Sale module. The can utilize the Email Configuration setup within Global Settings or can be configured to utilize their own SMTP settings as well. To configure these settings you will need to navigate to the following menus in Encore:
- Point of Sale -> POS Settings -> Email Settings
Email Settings
- From Email Address - The From Email Address label that appears in the Email Message when sent to a member. This address is a label that appears in the email message, and is not necessarily the actual address the email is being sent from. However, it is still useful as a member can send a reply to this address with any questions. (i.e. [email protected])
- Sender's Name - The name listed on the email notification of who the email is coming from. (i.e. Online Orders)
- CC Email Addresses - To have additional email addresses carbon copied on emails sent out from the POS Module, add them here separated by a semicolon.
- BCC Email Addresses - To have additional email addresses blind carbon copied on emails sent out from the POS module add them here separated by a semicolon.
- Subject - This is the subject line that will appear in the emails. If no subject is entered here, the default subject line will be taken from the Global Settings -> Email Configuration
Sending Notifications
When an Online Order is sent through to the kitchen, it will appear in the Online Ordering Queue in Encore under the Chit Create/Order Sent tab. Once the order is ready for pick-up or delivery, a user within Encore can mark the order as ready and choose to send a notification to the member. This will send either an email notification or push notification or both to the member who placed the order if initiated. In order to send notifications to he members you will need to follow these steps:
- Within Encore, navigate to the following menus:
- Point of Sale -> Tasks -> Online Ordering Queue
- Click on the Chit Created / Order Sent tab to see orders that have been sent to the Kitchen.
- When the Order is ready, click on the Order Ready checkbox.
- This will display a prompt asking to send an "order ready notification" to the member who placed the order.
- Click Yes, to send both an email notification and Push Notification to the member who placed the order.
Note: Push Notifications will only be sent if the club is utilizing the Clubhouse Online Mobile App.
