Configuring Online Tee Time Settings

To access the Online Tee Time Reservation Settings

  1. Log in to the club's ClubHouse Online website with an Administrator user account and access Club Central.
  2. From within Club Central, click Planet icon (Open Application List) at the top left.
  3. Select Modules > Tee Times from the Applications list. 
  4. Select General Settings from the left navigation.
  5. Select an option below to see more details on how to configure the settings.

Filters

The status filters should be configured when the Allow Addition of Members or Allow Addition of Buddies and Groups have been enabled in the Booking Info - General section below. The filters can be used to prevent members with certain Status or Dues Class from appearing in the search results when a member uses the Add Member or Add Buddies and Groups button to add other members at the club to a booking. 

Members can search other members using first or last name. Only status and member types that are unchecked will appear.
 

Note: This filters the name search only. When the final Book Now button is selected, the website will validate the Golfer Classifications and Rounds of Golf Rules that have been set up in Jonas Club Management Tee Times before the booking is completed.

Status Filter

Use the Status Filter column on the left to select the statuses that should be hidden from the member search. This should include statuses that do not have golfing privileges such as inactive, terminated, or deceased members.
  1. Select checkbox beside status(es) to hide from the online Tee Times member list when adding members to a Tee Time Reservation. 
  2. Click Save at the top.

Tee Time Dues Class Filter

This filter is only applicable for clubs using Encore or CSG.
Use the Member Type Filter on the right to select the member type that should be hidden from the dining member search. 
  1. Select checkbox beside Dues Class to hide from the online Tee Times member list when adding members to a Tee Time Reservation. 
  2. Click Save at the top

Booking Info

General

  • Use Exclusive Bookings - By enabling this option, members will not be able to book against a Tee Time if there is already an existing booking for that Tee Time (even if there are additional player slots available).
    • Allow Members to Invite Other Members to Join Them -  If the club has exclusive bookings enabled. Clubs can select this checkbox to allow members to override the exclusivity of their booking. During the booking process, members will see the Invite Other Members to Join Them option, which allows others to join them at the time they have booked.
      • To take advantage of this feature, the following things need to be in place: 
        1. Bundle 332 has been deployed to the club
        2. The Club is running JCM Version 2023.0434 or higher.
        3. The ClubHouse Online e3 Profile in JCM needs to be set to Tee Time Version 5
    • Invite Text - Enter the text to be displayed if members have opted to invite other member to join them. If nothing is entered Join Us will be displayed on the tee sheet.  
  • Hide Only Show Available Flag - Enabling this option will prevent members determining whether they want to see all times or only those that are available to them.
  • Only Show Available By Default - By enabling this option, the ‘Only Show Available’ filter on the tee sheet is enabled by default.
The following settings will allow you to override certain rules that have been established in Jonas Club Management system. These settings include:
  • Allow Reservations - By enabling this option, Members can make reservations online.
  • Disable Editing Reservations - Members will not be able to make edits to their reservation from the website. They must contact staff at the club and they will make changes directly in Jonas Club Management Tee TImes. 
  • Allow Same Day Bookings - By enabling this option, the current day’s tee sheet can be booked.
  • Allow Same Day Editing - By enabling this option, a tee time reservation for the current day can be edited right up to the tee off time from the website.
  • Allow Cancellations - By enabling this option, tee time reservations can be cancelled from the website.
  • Respect Cancellation Policy - By enabling this option, Members will be unable to cancel a Tee Time Resevation after the date / time as defined by the club's Cancellation Policy set up in Jonas Club Management (JCM) Tee TImes. 
    • JCM Version 2023.0541 or higher is required to support this functionality.
    • Cancellation End Date Time (defined by the Hours Notice Required within JCM Tee Times> Files> Golf Courses>[Golf Course]> Policies in JCM) and if the current time is greater than the Cancellation End Date Time, the Cancel Booking button will not be presented.
  • Prevent Edits After Cancellation End Date/Time - Club can prevent members from editing tee time bookings once the Cancellation End Date/Time has passed in respect to the Cancellation Policy that is in effect. 
    • Only enabled this when Respect Cancellation Policy is enabled.
    • JCM Version 2023.0541 or higher is required to support this functionality.
    • Members will be unable to edit bookings once the cancellation end date/time as defined within JCM Tee Times>Files>Golf Courses>Policies>Confirmation Notice Information>Hours Notice Required has passed. 
  • Allow Same Day Cancellation - By enabling this option, a tee time reservation for the current day can be cancelled right up to the tee off time from the website.
  • Allow To Be Determined - By enabling this option, you are allowing members to add ‘To Be Determined’ members to their bookings instead of selecting a member from the online member list. Additionally, it will enable the addition of ‘To Be Determined’ members by way of Quick Booking.
  • Allow Primary Players To Delete Themselves - By enabling this option, members who create a booking are able to remove themselves, leaving the remaining players on the booking. Once removed, the first member is added to the booking, other than the member who created it, becomes the primary member.
  • Disable Guest Rounds of Golf Rules Enforcement Online - By disabling Guest Rounds of Golf Rule Enforcement Online, members can add guests to a reservation in excess of their allotment, online, however, an error will be displayed when they attempt to complete the booking if prohibited in Jonas Tee Time Management
The following settings will allow you to control how a member completes the booking process. These settings include:
  • Allow Addition of Members
    • Checked: Add Member button will display. Members can look for other members to add to a booking, provided they aren't hidden with the filter.
    • Unchecked: Add Member button will be hidden. Member logged in will not be able to look up other member names and add them to a booking. 
  • Allow Addition of Buddies and Groups 
    • Checked: Add Buddies and Groups button will display. Members can use pre-created Buddies and Groups (their favorite members or guests that are usually added to bookings), to add names to bookings quickly. This is assuming they have already created them using the Manage Buddies and Groups Tab and aren't hidden with the filter.
    • Unchecked: Add Buddies & Groups will be hidden. Member logged in will not be able to access the pre-created Buddies and Groups to add names to the booking. They would have to add them manually, if Allow Additon of Members and Allow Guests Online have been enabled. 
  • Allow Guests Online 
    • Checked: Add Guest button will display for members to add guest into booking 
    • Unchecked: Add Guest button will be hidden.
  • Require Guest Email Address
    • Only applicable if Allow Guests Online has been enabled.
    • Checked: Members have to enter First Name, Last Name and Email address for their guest to be added to the booking.
    • Unchecked: Members have to enter First Name and Last Name for their guest to be added to the booking.
  • Adv. Booking Restriction Starting Time
    • Specify the time at which all Advanced Booking Restriction created using Rounds of Golf Rules in Jonas Club Management Tee Times begin. If no time is specified here, the time will default to 12:00am.
    • Example - Advanced Booking Restriction is set to 7 days in JCM and this field is set to 7:00am. Members will not be able to book anything that is 7 days prior to the booking date, until 7:00am. 
  • Minimum Booking Size: This is the minimum number of players required on a particular booking.
  • Lock Duration (in minutes): Define the length of time (in minutes) that a user has to make a booking before the time they’ve selected is once again available to all users (online and pro shop).
  • Remaining Time Before Lock Extension (in seconds): Define the remaining time (in seconds) before which a lock cannot be extended. Set this to the number zero to prevent users from extending a lock.
  • Disable Tee Time Lock Extension - Prevent members from locking a time and then extending its lock until such time as they can add players that were unable to book when they locked the time.
  • Always default to Today's Tee Sheet - Member will always be taken to Today's tee sheet when clicking the Tee Sheet, no matter the tee sheet they most recently viewed. Otherwise, the default will be the Info Tab. 
  • Require reCaptcha for Bookings 
    • Checked: Members will be required to prove that they are human before being able to submit a new booking. The Book Now button will be disabled until they select the I'm not a robot checkbox and complete and necessary test to prove they are human.
    • Unchecked: Members can complete a booking without extra tests.
  • Require reCAPTCHA for Tee Time Locks - By enabling this option, Members are require to solve reCaptcha on click of a given time before they are able to add players.
  • Force Number of Holes Selection - By enabling this option, members will be forced to choose the number of holes when a given Tee Time Supports both 18 and 9 hole reservations.
  • Hide Booking Note - By enabling this option the notes box will be hidden and members will be unable to add notes within the Tee Times Booking screen.

Lottery

  • Allow Requests - If enabled, members will be able to submit requests for lottery tee times, online.
  • Allow Lottery Request Cancellations - By enabling this option, your Lottery requests can be cancelled.
  • Display All Lottery Requests - By enabling this option, members will be able to see all Lottery Requests made against the tee sheet for the selected day and course(s). Text for Display All Lottery Requests: Provide members with instructional text with respect to getting added to an existing Lottery Request.
  • Add to Wait List by Default - By enabling this option, members submitting lottery requests/ballots will automatically be added to the wait list unless they opt to uncheck the flag present within the booking screen.
  • Allow Additions to Existing Lottery Requests - By enabling this option, members will be able to add themselves and others to existing Tee Time Requests. The drop-down menu below allows you to determine the default position with respect to whom the member will allow to join their tee time request.
  • Default Option for Add to Existing Lottery Request - Select if Buddies of the booking owner, All Members, or No Member can add themselves to an existing lottery request.
  • Text for Display All Lottery Requests - Provide members with instructional text with respect to getting added to an existing Lottery Request.
  • Hide Earliest and Latest Request Times - Checking this box will hide the Earliest / Latest fields from the booking screen. The member will automatically get the default values you assign below.
  • Default Earliest Lottery Time - The default value for the earliest lottery time - it's relative to the booking time. If the member selects 8:00 AM it will be the selected amount prior to 8:00 AM.
  • Default Latest Lottery Time - The default value for the latest lottery time - it's relative to the booking time. If the member selects 8:00 AM it will be the selected amount later than 8:00 AM.

Group Booking

  • Allow Group Bookings - By enabling this option, members will be able to book multiple tee times simultaneously.
  • Maximum Number of Groups per Group Booking/Request - By enabling this option, members will be able to add themselves and others to existing Tee Time Requests. The drop down menu below allows you to determine the default position with respect to whom the member will allow to join their tee time request.

Labels

  • Show Member Names - By enabling this option, members’ names will be shown in tee sheet slots associated with their bookings. If this option is disabled, their names will be replaced by the ‘Replacement Label for Member Names.
  • Replacement Value for Member Names - Define the text that will appear instead of Members’ names if ‘Show Member Names’ is disabled.
  • Display Familiar Name Instead of First Name - By enabling this option, a members Familiar name will display on the tee sheet instead of the Given name setup in the back office. If no Familiar Name is present and the Tee Sheet has been configured to display Familiar Name, their Given Name will be displayed with Surname.
    • Note: enabling/disabling this option only affects future bookings, names of players for existing bookings will not be updated accordingly.
  • Show Guest Names - By enabling this option, guests’ names will be shown in tee sheet slots associated with their bookings. If this option is disabled, guests’ names will be replaced by the ‘Replacement Label for Guest Names.’
  • Replacement Value for Guest Names - Define the text that will appear instead of Guests’ names if ‘Show Guest Names’ is disabled.
  • Available Text - This text will replace the word "Available" on the Tee Sheet.
  • Not Available Text - By default, if a tee time is not available to a user, ‘Not Available’ will appear in each of the slots. The text entered into this field will replace ‘Not Available’.
  • Booked Text - This text will replace the word "Booked" on the Tee Sheet.
  • Starter Text - By default, if a tee time is a starter time, ‘Starter’ will appear in each of the slots. The text entered into this field will replace ‘Starter’.
  • Lottery Text - This text will replace the word "Lottery" on the Tee Sheet.
  • Locked Text - By default, if a tee time is locked when a user views the tee sheet ’Locked’ will appear in each of the slots. The text entered into this field will replace ‘Locked’.
  • TBD Text - This text will replace the words "To Be Determined" on the Tee Sheet.
  • Default Time Range - This allows you to establish the default time range members can search within a day’s tee sheet.
  • Show Hole Column - By enabling this option, the starting hole column will appear on the Tee Sheet.
  • Tournament Text - By default, if a tournament is scheduled for a tee time, ‘Tournament’ will appear in each of the slots. The text entered into this field will replace ‘Tournament’.
  • Default Golf Course - Indicate the course(s) that will be selected by default when a member views tee times for a particular day.
  • Display Starting Hole in My Bookings - Provide members with instructional text with respect to getting added to an existing Lottery Request.

Player Preferences Configuration

Transportation

  • Enable Column - Enable players to choose a transportation option.
  • Column Heading - Edit the title, ‘Transportation’.
  • Show Walk Option and Walk Label - By enabling this option, you are providing members with the ability to choose walking as their method of transportation. The text that represents walking can be specified in the ‘Walk Label’ field. By default, ‘Walk’ will appear.
  • Show Pull Option and Pull Label - By enabling this option, you are providing members with the ability to choose a pull cart as their method of transportation. The text that represents pull cart can be specified in the ‘Pull Label’ field. By default, ‘Pull’ will appear.
  • Show Cart Option and Cart Label - By enabling this option, you are providing members with the ability to choose a cart as their method of transportation. The text that represents cart can be specified in the ‘Cart Label’ field. By default, ‘Cart’ will appear.
  • Default Value - Choose which transportation option is the default when players make a reservation.

Caddy

  • Enable Column - Enable players to choose to use a caddy.
  • Column Heading - Edit the title, ‘Caddy’.
  • Default Value - Set the default for players when making a reservation

Rental

  • Enable Column - Enable players to choose a rental club.
  • Column Heading - Edit the title, ‘Rental Clubs’
  • Show/Hide Column by default - Since the rental options utilize a great deal of real estate within the bookings page, this allows clubs to hide the option but show a link instead, allowing players to click on the link first prior to editing the rental options.

Help

Choose the videos posted to users within Tee Time Reservations. For example, if your club does not use Lottery Requests, simply hide the Help video on How to Make A Lottery Request. In order for the Help tab to be visible on the Tee Sheet page you must first enable it. Check off the Enable Help tab option in order to choose from the videos that are available:
